What do you do if your team's project management in sustainability initiatives is falling behind?

I called for immediate meeting for all team members to review the following: Project performance assessment, the timeline, tasks, resources (human, material, funds), efficacy and effectiveness of implementation so far. Where it was necessary to review our strategy. We did. and with committed buy-in of team members and executive management. The new development was thereafter communicated within and without.

Verify the scope. Is the goal realistic to begin with. Too often, senior stakeholders want the next “bright, shiny object’ without understanding what it might take to achieve. Expecting more than is achievable is a sure route to failure. Manage expectations. Hope is not a tool in the PM toolkit.

The first action to take is to call all project meeting to root cause the reason we are behind. Root causes can be related to many different challenges, not just one. Take those challenges and action against them creating an exception plan to move forward.

Rapidly assess the situation to identify key issues. Enhance communication with regular updates and responsibilities clear to all. Adopt agile methodologies, breaking projects into manageable parts for flexibility. Empower your team, by delegating tasks based on strengths. Use KPIs for continuous monitoring, adjusting strategies as needed. Seek external expertise for fresh insights. Be ready to innovate and pivot based on feedback. Address burnout by managing workload and ensuring work-life balance. Celebrate small wins to maintain motivation.

In my personal experience, when the team's sustainability or in general any project management lags, it's critical to evaluate the circumstances in detail. Examine the underlying causes of delays, taking into account things like a lack of resources, ambiguous goals, or insufficient experience. Get team member feedback to have a thorough understanding of the difficulties encountered. Compare the status of the project with the original plans to find any differences. This evaluation serves as a basis for creating focused plans that will realign efforts and successfully advance the project. A proper analysis of the situation itself will open the doors to regaining the momentum of the project and activities.

Communicating with stakeholders might sound often easier than it is (think eg of a NIMBY group against windmills) but as so often a stitch in time saves nine applies: Don't communicate when you have the problem, be open and welcoming at the ideation/planning stages, so you have built rapport already.

Communication plans should call for urgent communications. This should describe who, when and how communication should take place if a project falls behind. All project team members, sponsors and stakeholders should be on the same page about the status and the path forward.

In my personal view, embrace flexibility and creativity to effectively adapt and develop the project plan for sustainability activities that are lagging. Examine the strategies in place and note any gaps or potential improvements. To produce creative ideas and solutions, encourage brainstorming sessions with the team and if required involve external experts. Think about using automation or technology to improve efficiency and streamline procedures. Encourage team members to take initiative and provide creative solutions to problems. Through the promotion of an innovative and flexible culture, the project can get back on track and lead to good sustainability outcomes.

When your sustainability initiative falls behind, it's time to adapt and innovate. Evaluate the current strategy and identify what's causing the delay. Look for alternative approaches or solutions that could expedite progress without compromising the project's integrity. Encourage brainstorming sessions with your team to generate fresh ideas and perspectives. Embrace flexibility and be willing to adjust timelines or resource allocations if necessary. When facing a setback in your sustainability project management, it's crucial to regroup and refocus. Start by rallying your team, reminding them of the project's importance and the positive impact it will have. Break down the tasks into smaller, manageable goals, and encourage collaboration and open communication. Empower team members by acknowledging their strengths and assigning tasks that align with their skills and interests. Remember, setbacks are opportunities for growth and innovation. Together, you can overcome challenges and make a meaningful difference in sustainability efforts.

When facing challenges with project management in sustainability initiatives, it's important to also consider the impact of external factors such as regulatory changes, market dynamics, or stakeholder expectations on project progress and outcomes. Stay informed about external factors affecting your project by regularly monitoring industry trends, engaging with relevant stakeholders, and proactively adapting your project plans and strategies to mitigate risks and seize opportunities in a rapidly evolving environment.

In my view, take proactive measures to resolve the problem if your team's project management of sustainability activities is behind. Determine any dead ends or impediments to advancement, then review schedules and resource allocation. Encourage honest conversation to jointly identify problems and come up with solutions. If necessary, think about redistributing the workload, changing the order of importance, or offering more assistance or training. To recover momentum, break down ambitions into smaller, more doable activities. To guarantee the effective execution of sustainability projects, keep a close eye on developments and modify plans as necessary. More importantly, listen to the team empathetically to understand the issues they face.

A sustainability project by its very definition is trying to consider more than just a linear problem -> solution -> monitoring approach. Whether following the sustainable development goals or pursuing a meaningful certification (there are a significant amount of meaningless label certifies out there), the goal is always to produce an impact beyond the mere corporate horizon. This could be social impact in the community or prevention or habitat loss. So if a project goes off rail, don't just put your conventional business problem analysis hat on - take a step back and look at the bigger picture who could benefit from the project and thus help you.
